Mailings

Please note that this article is relevant for retailCRM 7.0. The documentation for retailCRM 6.0 is located here.

There are Email and SMS mailings in the system. Their functionality is similar that's why we will have a look only at the work with Email mailings.

Mailings section is for generating templates and sending mailings to the certain customers.

List of the sent mailings is displayed in this section, as well as the filter allowing to search by mailings.

A table with the created mailings is displayed below the filter. The table has the main information on the sent or expected mailings. The following columns are displayed in the table:

Note: several values may be displayed in the “Segments” column if they were added at the creating the mailing.

Also, there is a sorting by the number of elements to be displayed on one page and the button to export the table with the mailings.

Creating a mailing

Customer segment

In order to create the new mailing you should click the button “New mailing” at the top right of the page.

When we start creating the mailing, first of all, it is necessary to know the recipient of our message. During the creating one may select one or several segments created earlier to send messages to.

Name, type and coverage of segments are displayed next to the segments.

There is an option button “All/Any of” at the top of the selected segment. The option button is for sending messages to the customers who belong to all selected segments (“All” option) or to any segment from the selected ones (“Any of” option).

For example, you have two segments: the first segment is customers who bought in winter and the second one is customers who bought in summer. If you select the first and the second segment and the “All” option, then all customers who bought both in winter and in summer will be in the mailing. And, if you select the “Any of” option, then the mailing will contain only customers who bought either in winter or in summer or both in winter and in summer.

If the segments have not been selected, the mailing is sent to all customers of the system who have not unsubscribed from the Email mailing.

Mailing template

In the “Mailing template” block is specified the data which will be sent to the customers of the previously selected segments.

From. This field may contain both address, for example, info@site.ru and extended notation, for example, Steve Samuel <info@site.ru>. Such notation allows to specify the name of the contact person and the recipient will see not just the Email address but the name of the sender.

Email subject. The subject may be as a plain text or as a twig template. For example, New order on the site {{ order.customer.lastOrder.number }}.

Parameters on the first or the last order can be added to the subject. Parameters on the cancelled orders are ignored. Click the link to read about additional fields.

Text template. Information which will be displayed in the main content of your Email message. For example:

<p>Dear {{ order.nickName }}, </p>

<p>Your order №{{ order.number }} has been confirmed. The order is being processed at the warehouse.</p>

The information from the message body is formed by using HTML and CSS styles, common layout and template engine (Twig) which allows to display all available parameters of the reference book of objects. You can create any message design by using this tool.

Important! Do not forget to add a link to unsubscribe from the mailing. For example:

<unsubscribe>Unsubscribe from the mailing</unsubscribe>

Attached files. It is possible to attach a file to the template. Please note that you can attach no more than 10 files and their size should not exceed 10 MB.

Date and time of sending. In this field is specified when the mailing will be sent. The mailing will be sent by default after clicking the “Send” button. If you choose the option “Specify date and time of sending”, a link will be displayed, by clicking which, you will be able to set the date and the time of the mailing. If the date and the time are set, the system will send the mailing in the specified moment by itself.

Three main parameters are set in the “Settings” block located at the right corner of the page: mailing name, related mailing and mechanics of mailing conversion calculation.

Mechanics of mailing conversion calculation. For example, to calculate the conversion, we select the mechanics “Getting new orders”. If the mechanics is selected, a pop-up window “The time window of conversion” appears and we specify 2 days in it.

If the customer who opened the Email message will order within 2 days, the conversion will be considered as a successful and be displayed in the analytics on this mailing.

Please note that if the time window of conversion of the first mailing coincides with the time window of conversion of the second mailing and there are shared customers in both mailings, then the conversion of such customers will be considered as the conversion of the fist mailing.

Related mailing. In this setting it is possible to select the mailing which was sent earlier. The selected mailing will become a sort of a segment in which all customers of the mailing will be. After the related mailing is selected, some data will be hidden and only the number of customers from the selected mailing will be displayed.

The field “Customers filter” will be displayed then. This field allows to find out customers taking into account what they did with the Email message. For example, you can select those who opened the message from the related mailing.

Viewing the sent mailing

There is a possibility of viewing common statistics by the Emails sent, dynamics of sending and Email templates by each customer.

Click-through rate of the sent Emails is displayed in the “Click details” block.

The sent Email message is displayed in the “Mailing template” block. The customer from the mailing is selected next to the block name. If the customer is selected, the template sent to that customer will be displayed.

Also, it is possible to create a copy of the mailing.
